Digital Monitoring & Data Policy
Digital Monitoring & Data Policy
Effective Date: 08/01/2025
Applicable to: Bookings made directly through this website. If booked via platforms such as Airbnb or Vrbo, their policies also apply in addition to the terms below.
1. What Technology We Use and What We Do Not Use
We may use the following devices for safety, security and operational monitoring purposes:
-
Exterior security cameras (for example door-bell/entry cameras, driveway or walkway cameras) aimed solely at entrances, driveways or the exterior property perimeter.
-
Noise monitoring sensors that measure decibel levels in common areas only—not audio content.
-
Smart-lock or log-based entry systems and WiFi/router access logs, for access control and basic network security.
We do not place any cameras or recording devices inside bedrooms, bathrooms, living rooms, hallways, or any area where guests have a reasonable expectation of privacy. Devices are not hidden and are disclosed in advance. Audio recording is turned off for indoor monitoring and we avoid capturing private conversations.
2. Device Locations and Coverage
We currently operate the following monitoring devices at this property:
-
Front Doorbell Camera covering the front porch/entry approach only.
-
[Second Camera – e.g., Garage Exterior Camera] covering the driveway/garage exterior only.
-
Noise Sensor(s) located in the common living area(s) to detect sustained high decibel levels (not speech).
No cameras or monitoring devices are placed inside the home, in bedrooms or bathrooms, or aimed through windows into private interior spaces.
3. When Monitoring Is Active
-
Exterior cameras are typically active 24 hours a day while the home is unoccupied and during guest stays for security and property protection.
-
Noise sensors are active during guest stays to help enforce occupancy, quiet hours, and local ordinance compliance—these do not record speech or identify individuals.
-
Entry logs and smart lock events record timestamped access events for security, guest verification, and lost key troubleshooting.
4. Capturing Images for Suspected Violations
If we reasonably suspect a safety, security, or house-rule violation (for example, unauthorized party, vandalism, trespass, damage, or excessive noise), we may review footage and capture still images from exterior cameras for documentation purposes. Any such images or digital copies will be deleted within 48 hours of review unless they must be retained for valid investigations, insurance claims, law enforcement requests, or dispute resolution.
No recordings or copies of such footage will be shared with guests unless necessary for communication regarding the incident, damage claim, or dispute process.
In the rare event of a data breach, accidental disclosure, or mistaken sharing of digital content, we will notify the affected guest(s) immediately upon discovery of the incident, provide details of the nature and scope of the exposure, and take corrective action to mitigate any potential impact. All inadvertently shared or compromised data will be permanently deleted within 48 hours of discovery, and we will confirm the completion of deletion to the guest in writing.
5. Use, Access and Sharing of Data
We use monitoring data only for these purposes:
-
Verifying check-in/check-out identity and authorized parties, deterring unauthorized access or misuse of the property.
-
Enforcing house rules, occupancy limits, noise/quiet hours, and local laws/ordinances.
-
Investigating incidents of property damage, theft, vandalism, nuisance complaints or other security concerns.
Data may be shared under the following conditions:
-
With law enforcement or emergency responders when required by valid legal process or to prevent imminent harm.
-
With insurance carriers, platform dispute resolution (e.g., Airbnb/Vrbo) or our property-management/security vendors, under confidentiality obligations.
We do not sell or rent guest monitoring data to third parties. Access is restricted to authorized personnel only.
6. Guest Consent & Transparency
-
This policy is published on our website and included in the booking terms, so guests are informed before they book.
-
Conspicuous signage is placed on-property near any exterior cameras or noise sensors to identify monitoring devices and notify guests.
-
By booking and occupying the property, you acknowledge and consent to the monitoring described here.
7. Guest Privacy Rights & Inquiries
If you have questions or concerns about monitoring, placement of devices, or how data is handled, please contact us at quantumglob@gmail.com before booking. Upon arrival, if you notice a device you believe is intrusive, you may notify us and we will review placement and, if feasible, temporarily disable or adjust coverage.
8. Guest Responsibilities – Prohibited Conduct
By staying at our property you agree that you will not:
-
Tamper with, obstruct, cover, unplug or move any monitoring device or equipment.
-
Attempt to access our surveillance cameras, network routers or other security hardware.
-
Host unauthorized events/parties, exceed the maximum permitted occupants, or violate local noise/quiet-hours ordinances.
Failure to comply may result in immediate removal from the property without refund, additional fees for damage or violation processing, and possible reporting to platforms or local authorities.
9. Security & Retention Practices
We collect only the minimum data necessary, retain it for no longer than necessary (standard retention: 48 hours, unless an incident dictates otherwise), restrict access to authorized staff, use encrypted storage where available, and securely delete or render data unrecoverable when no longer needed, in line with best practices for safeguarding personal information.
10. Platform-Specific Additions (If You Book via a Major Platform)
-
On Airbnb: Indoor cameras are strictly prohibited. Outdoor cameras and noise sensors must be disclosed ahead of the booking. Hidden devices are banned.
-
On Vrbo: Surveillance devices inside the property are prohibited. Outdoor devices (including doorbells) are permitted only if disclosed with purpose, location and coverage; they must be for security, not voyeurism.
By using this website for direct bookings, we abide by at least the same standards and ensure guest privacy remains a priority.
